Why practices choose ZimalCloud for mental health billing and documentation

Structured mental health visit notes, not free-text progress notes

ZimalCloud MH is a specialty visit program: template-driven documentation across sixteen clinical sections, face-to-face visit timer with psychotherapy minute bands, server-side CPT auto rules, Review & Sign, and a server-generated PDF. It is architecturally separate from BHI care management — therapy bills by the visit; care management stays on BHI.

ZimalCloud vs generic EHR notes

Free-text therapy notes and manual CPT pick-lists invite under- or over-coding. ZimalCloud MH uses visit templates, structured clinical sections, a face-to-face timer, and a server CPT rule engine with minute bands.

  • Templates for initial eval, psychotherapy, med management, crisis, family, group
  • Encounter reads accumulated F2F minutes — no second clock
  • Review & Sign locks the encounter for audit

Mental health therapy billing vs BHI

Monthly care-management minutes are not a therapy hour. ZimalCloud keeps MH visit timers and CPT on the MH service, and forbids BHI/CoCM care-management codes on MH encounters.

  • Visit-based F2F time — not a calendar-month bucket
  • Therapy codes from real minute bands
  • Same patient can have BHI care management and MH therapy when minutes stay separate

Mental health EHR. Whole workflow

Standalone therapy EHRs often stop at private-pay notes. ZimalCloud MH sits beside BHI, CCM, RPM, GI, EHR, and practice management — one chart when medical comorbidity or specialty procedures matter.

  • Shared screening library with BHI — MH-owned visit billing
  • Appointments with MH visit types on the calendar
  • Signed encounter path toward PM / claims operations

What the product delivers today

From template picker to signed encounter PDF

Clinicians choose a treatment template; the menu shows only relevant sections across a 16-section catalog — screening, evaluation, MSE, diagnosis, plan, goals, interventions, meds, risk, safety planning, education, referrals, encounter, follow-up, monthly review, and sign.

  • Template-driven 16-section workflow Initial psychiatric evaluation, psychotherapy, medication management, crisis / high risk, family / couples, group, follow-up, monthly review, and comprehensive episode — each showing the sections that visit needs.
  • Smart face-to-face visit timer Header timer tracks clinical-route F2F minutes, pauses on documentation routes, and feeds the encounter. Psychotherapy bands map minutes toward common visit codes — separate from BHI and CCM timers.
  • Server-side CPT rule engine Admin-tunable rules auto-apply on encounter save for eval, psychotherapy bands, E/M add-ons, crisis, family/group, instrument counts, and safety-plan documentation — with BHI care-management codes stripped from MH.
AIDA path — how an MH visit works

Enroll → choose template → document → time → sign & PDF

A specialty visit path therapists, psychiatrists, and PMHNPs can run day one — with measurement-based care and safety planning built into the catalog.

  1. STEP 01

    Enroll for MH / psychiatry

Require psychiatric / SUD diagnosis context, MH treatment consent, telehealth and Part 2 where applicable, and provider / clinician assignment.

  2. STEP 02

    Pick the visit template

Initial, Psych 30/45/60, crisis, family, group, med management, follow-up, or monthly review — menu shows only relevant sections.

  3. STEP 03

    Document clinical sections

Screening and scales, MSE, formulation, goals, interventions, risk, safety plan, education, and referrals as the template requires.

  4. STEP 04

    Complete the MH encounter

Visit type, DOS, modality, F2F minutes, diagnoses, risk flags, CPT chips, and auto-rule messaging — then sign to lock for audit.

  5. STEP 05

    Download the MH PDF

Server-generated report with care plan sections, encounter data, time logs, consent, and signature — section visibility set in MH Report Settings.

Built for daily psychiatry and therapy ops

Visit types, CPT rules, screening, and safety — specialty-grade MH

Admin MH Setup keeps visit types, CPT auto rules, report settings, F-code catalogs, and section checklists tunable without a code release.

Risk & safety planning

Structured risk assessment and collaborative safety planning with documentation gates that support safety-plan related coding when clinically completed.

Screening → instrument documentation

Reuse the behavioral instrument library on MH screening routes; instrument counts support visit-level documentation (for example measurement scales) without treating the visit as BHI care management.

MH monthly review (measurement-based)

Score trends and measurement-based care as an MH review — not a substitute for BHI monthly care-management minutes.

Patient Console hubs

MH care plan, encounter, monthly review, and timer cards on the same console as medical and specialty services.

Admin CPT auto rules

Configure eval, psychotherapy bands, add-ons, crisis, family/group, instruments, and forbidden-code strips — priority-ordered without redeploying the app.

Comorbid patients without double-counting

Run BHI care management and MH therapy the same month when clinically appropriate — timers and codes stay on their own services.

FAQ

Frequently asked questions

How is MH different from BHI in ZimalCloud?

BHI is primary-care care management with an eight-section plan and a monthly timer. MH is outpatient psychiatry and psychotherapy with visit templates, face-to-face visit minutes, encounter CPT rules, and a signed encounter. Rule of thumb: care manager coordinating BH in primary care = BHI; clinician in session for therapy or eval = MH.

How does the psychotherapy timer map to visit codes?

The face-to-face header timer accumulates clinical-route minutes and feeds the encounter. Common psychotherapy minute bands are applied through the CPT rule engine (for example shorter, mid, and longer visit ranges). Your compliance team should confirm final code selection against current payer rules.

Can the same patient have BHI and MH?

Yes, when clinically appropriate. BHI care-management minutes and MH visit minutes use separate service timers. The MH CPT engine is designed to keep BHI/CoCM care-management codes off MH encounters.

What visit types does MH support?

Templates cover initial psychiatric evaluation, psychotherapy lengths, medication management, crisis / high risk, family / couples, group psychotherapy, follow-up, monthly measurement-based review, and comprehensive episode documentation.
